Registration Guidelines

The VLSI Symposium encourages all participants to register online. All payments must be made in Japanese Yen by credit card or bank transfer. To avoid any trouble, please DO NOT register more than once.

The deadline for the Early Registration is May 12.
On or after May 13, registration will be processed only at the Late Registration fee.
The final advanced registration deadline for On-Site Participants is May 31, 2023. After June 1, please register on-site.
*On-Site Participation of Bundle registration ( Short course and Forum) are full capacity.
It is not possible to register for Bundle registration on-site.
*On-site registration of Symposium registration are available at the symposium venue.
*Online registration for Online Participation (On-demand streaming of recorded presentations) will reopen on June 19.

Registration also includes on-demand access to the recorded presentations after the symposium.

*Please note that the payment deadline by bank transfer is May 31, 2023.

(1) Registration Fee

*All deadline dates are in Japan Standard Time.
*10% consumption tax is included.

*1: Only the main symposium attendee can attend “Evening Panel Discussion” and “Banquet”.

*2: Both the main symposium attendee and the bundle attendee can attend “Workshop”,
     “Demo Session & Welcome Reception” and “SSCS/EDS Young Professionals and Women in Circuits Mentoring Event”.

*3:Diversity Meeting is NOT included in the Registration Fee. The deadline for Diversity Meeting registration is May 31.
     Please note that seat availability of the Diversity Meeting is limited, and the tickets are sold on a first-come-first-served basis.

*4:For more information about Silicon Nanoelectronics Workshop, please refer to the following site.

*5: The registration fee of Spintronics Workshop is free of charge, but registration is required. Please register on-line through the VLSI Symposium registration system.

(2) Payment

All payments must be made in Japanese Yen by credit card or bank transfer. Please complete the payments no later than May 12 for the Early Registration. The Late Registration fees are requested to be paid before May 31, 2023.

 

1. Bank transfer to VLSI Symposium.

*Any bank charges including the ones of paying banks or intermediary banks must be borne by the applicants.
*If you require an invoice for the payment, you can download the PDF of invoice from your registration account after choosing the payment method as bank transfer.

 

2. Credit Card (VISA, MasterCard, Diners Club, AMEX or JCB).

There are some cases that the credit card payment error occurred, because of authentication failure with 3D secure.
We recommend you to make registration ahead of time.
In case of the payment error, please contact the official support of your credit card.
Otherwise please try to pay by another credit card or try with other device or browser.

*For receipt, you can download the PDF of receipt from your registration account after online registration and payment.
*Only cash (Japanese Yen) or credit cards will be accepted at the onsite Registration Desk.

(3) Confirmation

If you have paid the registration fees by credit card, a payment confirmation e-mail will be sent to your registered e-mail address automatically.
If you pay the registration fees by bank transfer, a reply e-mail will be sent to your registered e-mail address. After confirming your payment, a payment confirmation e-mail will be sent by the Secretariat.
Please keep the payment confirmation e-mail and present at the registration desk to receive the Symposium materials.
If you do not receive any e-mail message within 24 hours, please contact the Secretariat and also check your spam folder as it may have arrived there.

(4) Cancellation

In case of cancellation, please send a message by email to the Secretariat Japan.
The following cancellation fees will apply based on the date when the Secretariat Japan receives your cancellation notification.

Date of Cancellation	Cancellation fee
On or before May 31, 2023	JPY 5,000 plus bank handling charge
After May 31, 2023	100% of the amount of payment (no refund)

Refunds will be made after the Symposium.
A bank handling charge will be deducted from the amount of refund respectively.

(5) Inquiries for Visa documentation

Deadline for Visa Support Application	May 10, 2023

Citizens of certain countries are required to obtain a visa to enter Japan. Please check the following website of the Ministry of Foreign Affairs of Japan (MOFA) to know if you need to obtain a visa and the visa application procedures.

The organizer will prepare the documents that should be prepared by the inviting person in Japan and send them to you.

Before you apply for assistance, you are required to take the following steps.

1. Complete your registration with full payment of the registration fee

2. Book a Flight

3. Reserve a Hotel
    *The period of your stay must be scheduled for a maximum of 2 weeks (including symposium period (6 days), arriving and departing day in Japan (2 days)).

4. Download questionnaire form by clicking “Questionnaire Form for Visa Support” button on the main menu of your registered account after your registration is complete.

5. Submit filled questionnaire form and copy of passport to the VLSI2023 visa support office (visa-support-team@t-e-i.co.jp) by May 10, 2023.
    When sending us a copy of your passport, please be sure the following points.
    *A copy of the page with the photo is uploaded.
    *Your passport is valid.
    *Passport must be of the nationality indicated on thequestionnaire form.
    *If you are also applying for a visa for accompanying persons, you must also send a copy of their passport.

Important Notes:
*If you are unable to obtain a visa and cancel your registration, you will still be subject to the VLSI2023 cancellation policy.
*The organizer will issue visa support documents, but this does not guarantee that you will receive a visa.
